Help
The questions studios ask before they sign up and in their first weeks. If yours is not here, ask: it goes straight to the person who builds TallyUp.
Email theo@bespokeworks.ai. Moving over from another system, a feature you need, something that does not work: it all goes to the same place.
Getting started
What is TallyUp?
Booking software for independent studios and gyms: your own booking page, the timetable, class packs and memberships, waitlists, health forms, reminders and card payments, in one place.
It was built around a real Pilates studio and works for yoga, barre, dance, fitness and private-session businesses too.
What do I need to sign up?
A business, an email address, and a card. Nothing is charged at sign-up: the card is so your studio keeps running when the free period ends.
To take payments from your clients you also connect your own Stripe account during set-up. It is free to open, and Stripe asks for the usual business and bank details.
Your studio can be in any country Stripe lets a business open an account in. Choose your country when you sign up, and have a business bank account in that country ready for Stripe. Our own plan is charged in pounds, wherever you are.
How does set-up work?
A short guided walk-through takes you through your details, your look, your booking rules, your team, your classes, your passes, your timetable and your payments. Each part saves as you go, so you can stop and come back.
If you are moving over from another system, we can do the heavy part for you (see below).
Does it work on a phone?
Yes. Your clients book on any phone, and the studio console is built to be used on one as well.
Moving over from another system
Can you move my clients and bookings across?
Yes, and we do it for you. We have already moved a London Pilates studio over from Gymcatch: their clients, their passes with the sessions left on them, their future bookings and their notes.
Send us your exports and we do the rest. If you use a different system, tell us which one and we will say plainly whether we can match it.
Will my clients have to sign up again?
No. Their accounts are made from your list, with their passes and bookings already on them. You choose when the invitations go out, and nothing is sent to a client until you switch it on.
What if I want to leave later?
Your data is yours. You can download your client list and your bookings as spreadsheets whenever you like, and cancel with one button.
Your free period and billing
What does it cost?
TallyUp Studio is £15.99 a month per venue, with everything included: bookings, packs, memberships, waitlists, forms, reminders and payments. Studio + Concierge is £19.99 a month and adds the AI class concierge.
There are no cover fees, no per-booking charges and no minimum term.
How does the free period work?
Your first month is free as standard. Studios we invite directly can get longer, and the invite page shows exactly how long and the day your first payment would be taken, before you sign up.
We take a card at sign-up so your studio keeps running afterwards. Nothing is charged during the free period, and we email you before the first payment. Cancel before it and you pay nothing.
Is there a fee on my clients' card payments?
Yes. Card payments carry Stripe's fee (1.5% + 20p for UK cards), including a 0.5% TallyUp processing fee. That is the only charge on payments, and nothing is added to what your clients pay.
The free period covers your TallyUp subscription, not card payments from your clients, so the fee applies from their first payment. Bookings you take in person or by bank transfer cost you nothing.
Stripe's own rate depends on your country and on the card, so check it in your Stripe account. The figure above is Stripe's UK rate.
How do I cancel?
Sign in, open Plan, and choose Manage billing. You can change your card, see your invoices or cancel there, any time. Your data stays put.
What happens if a payment fails?
Stripe tries the card again a few times. If it still cannot be collected, the console closes until you add a working card. Your booking page and your clients' bookings carry on, the money from your clients' payments still goes to you, and your data is kept.
How does the referral scheme work?
Send another studio your referral link. When they make their first payment, their first month is on us and so is one of yours, taken off your next bill. One month for each studio you bring.
Taking payments
How do my clients pay me?
By card, including Apple Pay and Google Pay, when they book a class or buy a pack or membership. The money goes to your own Stripe account and Stripe pays it out to your bank on its normal schedule. We never see card details.
Do I need a Stripe account?
To take card payments, yes. You connect your own account during set-up, so the money is yours from the moment it is paid. You can use TallyUp without it, taking bookings in person or by bank transfer, and connect Stripe later.
Your Stripe account is opened in the country you chose for your studio, and Stripe does not let the country of an account be changed afterwards. Check it in Settings before you connect.
What about refunds and cancellations?
You set the rules: how late a client can cancel, whether a card payment comes back as money or as a class credit, and how long a credit lasts. Your team can also take someone out of a class and choose what they get back.
Running your studio
What about waivers and health forms?
Use ours, or build your own with your own questions. Clients sign with their name, you keep a signed copy of exactly what they agreed to, and the answers you care about are flagged. You can ask everyone to fill it in again, or every year.
Can teachers use it without seeing everything?
Yes. A teacher sees their class lists by name only. If you choose to, they can also see the health notes people have flagged, so they can look after them. They never see contact details or payments.
Can a client book the same class every week?
Yes. A client can make a class their weekly class and it is booked for them as each week opens, using their pass or credit. It follows each class's own booking window.
Can I change how it looks, or ask for something that is missing?
Your colours, logo, wording and booking rules are all settings you can change yourself. If something is missing, ask. TallyUp is built with the studios that use it, and early studios shape what comes next.
Your data
Where is my data, and who can see it?
Your studio's data is yours and is kept apart from every other studio's. It is held on Google Cloud in the UK and EU. You sign our data processing agreement when you sign up, and the companies we use are listed publicly.
Getting help
How do I get help, or ask for something?
Email theo@bespokeworks.ai. It goes to Theo, who builds TallyUp and answers questions himself.
